Which CRM has the best price-performance ratio?
When deciding which CRM to choose, it's crucial to evaluate what features and functions you need and what price you're willing to pay. As long as you haven't underestimated the preparation phase, you now have a list of the key features you'll require from a CRM in hand and can start choosing.
Price chaos, how to make sense of it?
Standard, Professional, Enterprise...three words we all know well. Mostly presented in the form of a fancy price table to help us choose the best software plan. TIP: The best value is always in the middle ;)
The process is clear, I look and see: each plan offers the main features plus some little footnotes and each additional plan unlocks something extra. Clear, concise and quite simple if I opt for a solution from that brand.
Of course, the problem arises when I don't actually know which CRM I want. that's the rub! The number of options to compare is now increasing exponentially as the tariffs of different companies are not identical, but the key features are beautifully, perhaps randomly, spread across all possible tariffs.
If I'm looking for a truly best value solution (price/performance ratio), it's time to play bingo in excel and nicely tick off by plan and brand the features I need in my CRM, so that I don't start with the cheapest plan and then find that the next key feature for me is only in the "enterprise" plan. Or wait a little longer, because we've done it for you.
Price by feature survey
We've picked the most in-demand CRM features and researched the pricing plans of several of the most widely used CRM systems to see how much you'll pay to unlock them (what plan you need to be on to get them). That way, we're able to tell you pretty reliably which CRM system works best on a price/performance basis.
The most requested CRM features include:
Managing orders in the pipeline
Calendar synchronization
Email synchronization
Email templates
Required fields
Reporting
Automation
User permissions
CRM systems we compared:
Hubspot
Salesforce
Zendesk
Pipedrive
Monday
Note: All prices are based on a monthly subscription for 1 user. Converted at the rate of 1 USD = 24 CZK.
Survey result - How much do you pay for the functionality (what plan do you need to have)?
HubSpot
HubSpot's paid plans are categorized into Marketing, Sales, Customer Service, Content, Operations, and Commerce. Prices range from $23 to $2,000 per month depending on the range of services provided. However, we are now mainly interested in their pricing plans under Sales (CRM).
These monthly plans start at $480 and include only basic features like order management and calendar and email synchronization. However, you'll have to pay extra to expand on features like reporting and automation. You'll need 2,400 Kč to 3,600 Kč per month/user on the higher plans.
Salesforce
Salesforce has pricing plans divided into four main categories: Sales Cloud, Service Cloud, Marketing Cloud, and Commerce Cloud. Here again, the focus is mainly on Sales. Pricing starts at $25/user/month and can increase depending on customer requirements and the range of features provided. For example, Marketing Cloud plans start at $1,000 per month and include features such as marketing automation and social media management.
You can get basic features for $600 per month on the cheapest plan. For more extensive uses like automation and reporting, prices range from around $1,920 to $3,960 per month/user.
Zendesk
Zendesk focuses on providing efficient customer service, but their CRM also offers a wide range of features. Their pricing ranges from 600 Kč for basic features to 3,576 Kč for more advanced features like reporting and user permissions at higher subscription levels.
Pipedrive
Pipedrive offers four main pricing plans: Essential, Advanced, Professional and Enterprise. Pricing starts at EUR 24 per user per month and gradually increases depending on the content and range of features provided. The Advanced plan includes features such as individual dashboards and third-party email integrations, while the Enterprise plan offers access to APIs and advanced security.
Pipedrive is emerging as a strong competitor in the CRM space, offering affordable pricing and robust features. Their pricing starts at $600 for basic features. Not much difference here compared to other CRM solutions. However, with the option to upgrade to features such as automation and reporting for between 1,000 Kč and 2,000 Kč per month, Pipedrive appears to be a significant bargain. We make no secret of the fact that we really like Pipedrive because of this.
Monday.com
Monday.com is more of a project management platform, but it also offers Sales CRM features that are widely used. Their pricing is based on the number of users and starts at 1,008 CZK for basic features. You'll pay a little extra here because Monday.com only offers plans in packages for a certain number of users. So you need to buy at least 3 sets of 15 EUR per user (Total starting at 45 EUR / month). In our test, we calculated the average price for 1 user in case of 8 users.
So in the test you get basic features for 1 user per month for 600 EUR, more advanced features for 1008 EUR. For some features, such as mandatory fields and user role management, that other services normally offer, you have to contact their sales department for an individual offer.
Price/performance winner
If you settle for the very basic features such as calendar sync and order management, the winner for you will be Hubspot CRM, which offers a basic plan for £480/month/user.
However, if you are planning to use more advanced features, Pipedrive seems to be the best choice, which has a significantly more friendly pricing policy towards more demanding users. So for us, it is the clear winner in the price/performance ratio.
