Which Pipedrive license to choose? 5 features to make the right decision

The most common question with Pipedrive is which license a company should purchase. Pipedrive offers 5 plans and they differ not only in price but mainly in features. There are a lot of features and not many people know them in the Czech Republic. That's why I made a small series in which I will present the differences between the plans. I have selected 5 features that should be used to decide whether you choose an essential, advanced, professional, power or enterprise plan. Read the article or watch the videos. Or combine the two.

But if you want to choose for yourself, here are the 5 features mentioned above:

1. Customizing Pipedrive for your business

The first important factor in the selection process is the ability to customize Pipedrive in your own image, or for your business. In addition to the features that you have by default in all plans (customizing the dashboard, creating different activities, etc.), this manifests itself through custom fields.

Custom fields are fields that you add, and you collect data in them. Within the Essential plan, you can only create fields that can take on different values - text, number, date, etc.

With the Advanced plan, you can mark a field as important, meaning it lights up and prompts the merchant to fill it in.

With the Professional plan, you have the essentials:

Marking the field as required - without completing it, the trader will not move on. For example, the system will not let him win or lose a deal. You always have the essentials filled in.

You also determine whether the field is visible or not in a given board and at a given stage. In this way, you maintain the clarity of the system.

Another benefit is the ability to group fields into hives, so you can define who fills in what, for example.

And then the last one with the professional plan is the property of the field being read-only. This is especially useful in marketing, where the marketer will not change, for example, the source of the deal.

Power and Enterprise no longer offer anything extra for custom fields besides limits.

As far as limits are concerned, only the Essential plan has very low limits. Since the Advance plan, they are already sufficient for the company.

Open Deals means the number of (only) open deals - won or lost deals do not count.

Number of fields means the number of custom fields at the deal, person, organization and product level.

2. E-mailing

Pipedrive is the only CRM that can synchronize two-way email communication to a business case without the need for manual intervention (assigning to deals, entering a special email address into bcc, and similar nonsense).

This benefit alone makes Pipedrive a good thing to have. You have all your email communication logged, whether you send emails directly from Pipedrive or your favorite way (from outlook, inbox, mobile,...).

Two-way synchronization is available from the Advanced plan and up. This means you're out of luck with the Essential plan.

In addition to sending emails, including sending templates with nested fields (fields that are filled in according to the data entered in Pipedrive, such as the salutation) and tracking the open rate of emails, Pipedrive can also do bulk correspondence or sequential emails.

Starting with the Professional plan, you can also synchronize two email accounts (Power plan 3, Enterprise plan 5). This also applies to the choice of different signatures in the email footer.

3. Automation

This is already an obligation of CRM systems today. Pipedrive allows automation, as with emailing, from the Advanced plan and above.

Automation comes in handy for creating automated activities for salespeople, assigning deals, sending predefined emails to customers and much more.

They save you and your merchant time that can be spent on the customer themselves.

Part of this also includes the SmartDocs feature, generating documents from templates. This is free with the Professional plan, but can be purchased with the Advanced plan. You can generate documents, send them to the customer and have them signed online.

4. Reporting

This is where you choose whether basic reporting is enough - i.e. how many deals you won, how many calls the salesperson made, how long the sales process took, how many deals you lost and why, etc. You get basic reports in the Essential and Advanced plans.

Advanced reports include the Professional, Power and Enterprise plans. How are they better? You can use custom fields in the reports - for example, segment the data by margin or deal location.

You can also create goals for the company, teams or individuals within the advanced reports and see how they are meeting those goals.

A final benefit of extended reports is forecasting future revenue - that is, how much is likely to close in the near future.

5. User permissions

In Pipedrive, you have the ability to create permission groups and visibility groups.

Permission groups define whether a group member can add new business cases, delete companies, merge people, etc.

Visibility groups tell if a group member can see the deal and its data - I can only see my stuff, I can see my stuff and people at the same level, I can see my stuff and subordinates, I can see everything.

With Essential and Advanced, you only have default groups. For permissions, you decide whether the user is an Admin or a Regular user - and you define permissions for those groups. For visibility, you just define how everyone is going to be set up.

You also have 2 permission groups and 3 visibility groups for the Professional plan, 10 and 15 for Power, and unlimited for Enterprise. The advantage is that with both Professional and Power you can purchase permission or visibility packages as needed.

6. Summary

In our personal experience, Czech companies choose between the Advanced plan and the Professional plan. Most of them end up with the Professional plan. Why? Email synchronization is essential, it is only available with the advanced plan. But the Professional plan wins with its own fields (mandatory fields, determination of field visibility, read-only) and then also user permissions (for a team of 10+ salespeople you need to differentiate at least visibility).
